Hotel Lock and PMS Integration Checks for Malaysia

PMS compatibility needs an exact software release, interface and working demonstration. A listing that says “PMS integration” is not enough to confirm that the proposed lock system works with your property.

Check the complete issuing workflow

  1. Record the PMS product and release used by the property.
  2. Identify the lock-management software, interface and encoder.
  3. Confirm what sends and receives each check-in or checkout event.
  4. Test the ordered hardware and credential on a sample door.

Test normal changes and failure cases

TestQuestion to demonstrate
Check-inDoes the issued credential open only the intended room and shared areas?
Room moveWhat happens to the previous credential and new permissions?
Late checkoutHow are expiry times updated on the actual configuration?
Lost credentialHow is replacement and revocation handled?
Connection or power failureWhich functions continue, and what recovery procedure applies?

Separate mobile keys from PMS compatibility

A phone-based credential and a PMS interface are different parts of the system. Ask which app or wallet is supported, what the guest needs to do, and which backup credential is available. Keep the proposed phone, reader, software and interface configuration together in the demonstration.

Record responsibility in the quotation

  • Interface owner, licence scope and renewal terms.
  • Software releases and the procedure for future updates.
  • Who configures access permissions and trains the front desk.
  • Support route, response terms and acceptance evidence.

These are procurement checks, not claims that every listed model offers these functions.
