Hotel lock selection

How to choose the right hotel door locks for your property

Start with your doors and the way your team runs the property. Shortlist configurations that fit both, check the exact technical documents, and approve a working sample before committing to the full order.

Choose a working configuration, not a feature list

For a staffed hotel, a reliable credential-issuing process and a clear recovery procedure may matter more than an app. For a property with late arrivals and limited reception cover, remote delivery of access can be useful—provided the guest can receive and use it, and someone can help when it fails.

This guide is for owners, procurement teams and operators sourcing hotel access equipment for Malaysia. InnVerio is a selection and supplier-matching information platform. Use the linked sources to prepare a brief, compare evidence and agree what a sample must demonstrate.

  1. Record door types and operating requirements.
  2. Resolve fitting and document gaps before approving a candidate.
  3. Compare the complete hardware, software and service package.
  4. Test representative samples and retain the signed results.

Write a brief around the property’s constraints

Property situationFirst questionEvidence to request
Occupied hotel retrofitCan installation proceed room by room?Door survey, fitting drawings, trial room and phased work plan
Staffed city hotelCan reception manage busy check-in and room moves?Demonstration with the proposed encoder, software and PMS
Limited reception coverWho helps a guest whose digital key fails?Guest journey, escalation contact and fallback procedure
Resort or exposed access pointDoes the quoted configuration suit this exposure?Published environmental limits and applicable test evidence
Mixed guest and staff accessWhich credentials work at which doors?Door schedule and demonstrated access permissions

An air-conditioned corridor and a rain-exposed access point can require different decisions. Tell suppliers where equipment will be installed, who operates it and what support hours you need. Use the application planning hub to separate rooms, staff areas and shared spaces.

Mark requirements as mandatory or desirable. If the existing PMS must stay, say so before requesting a price. If rooms must remain in service during replacement, specify the working window. A brief with these constraints helps suppliers quote a configuration your team can actually use.

Settle door fit before comparing finishes

A lock with the right appearance can still be the wrong replacement. Ask the installer to measure door thickness, existing cut-outs, mortise dimensions, backset, handing and frame clearance. Record measurements by door type, with photographs and an identifier that also appears on the quotation.

BE-TECH’s upgrade guide includes a door-preparation audit. The useful buying principle is to compare the proposed installation drawing against the actual door and then verify the fit on a sample. A photograph or a model-family name cannot settle that question.

Include cosmetic repair in the scope. Removing old trim can expose holes or finish damage; cover plates and making-good work affect both appearance and cost. Changes involving a rated door assembly need review by the responsible qualified project specialist. Our hotel lock replacement checklist covers the survey and phased handover.

Choose the guest workflow: RFID, mobile access or both

ApproachUseful whenQuestions before purchase
RFID cardsReception issues physical credentialsWhich card technology and encoder are supported? What is the lost-card process?
Mobile accessThe property needs a supported digital arrival journeyApp, browser or wallet? Supported phones? Delivery, expiry and fallback?
Card and mobile accessDifferent guests need different access methodsAre both methods included in the quoted hardware and software?

“Smart lock” is too broad to compare. Ask the supplier to show booking confirmation, credential delivery, arrival, opening the door, room change and checkout. Vingcard’s mobile-key information describes BLE/NFC and app or wallet delivery options. Those options depend on the proposed system; a Bluetooth label alone does not establish wallet support.

Try the journey as a guest would. Is an account or app download needed? Who resolves a missing message or an unavailable phone? Can reception issue a fallback credential? Agree how staff check identity, who can replace access and what record is kept. Put the chosen workflow in the integration brief.

Compare technical values together with their documents

FieldWhat the quotation must identifyAction when evidence is missing
Physical fitExact model, mortise, handing, thickness range and drawingHold fitting approval until the drawing matches the door
PowerSupply type, specified voltage, battery requirements and warning behaviourRequest the exact manual; do not borrow values from similar models
EnvironmentPublished temperature/humidity limits and any claimed ingress ratingMatch evidence to the configuration and intended location
CredentialsSupported card or mobile technology and required accessoriesDemonstrate the proposed credential
SoftwareRelease, licences, encoder/gateway and integration requirementsList every required component and recurring charge
ServiceWarranty scope, exclusions, replacement process and support contactObtain written project-specific terms

Put units and conditions beside every number. A battery-life claim is hard to use without its operating assumptions. A rating on another model is not evidence for the one quoted. Keep the source URL, document revision and configuration reference together so a later change can be checked.

The worked specification and manual audit shows how to separate published values from evidence gaps. Open ORBITA E3042 and its linked technical material as an example of an exact-model record. It still needs checking against your door and order configuration. If a required document is absent, request it before treating the item as technically accepted.

Test the PMS connection and the failure cases

Ask for the PMS product and release, lock software release, connector, issuing equipment and the party responsible for each. Cloudbeds states that functions, hardware requirements and regional coverage vary by integration. “PMS compatible” is therefore a question to investigate, not a completed acceptance check.

TestAcceptance question
Check-in and expiryDoes the credential receive the correct room and validity period?
Room moveWhat happens to old access and common-area permissions?
Extended stayDoes the change reach the credential automatically or require staff action?
Connection outageWhich actions remain possible and who restores service?
Lost card or unavailable phoneCan staff follow the agreed recovery procedure?
Staff departureCan the administrator revoke access and review the event?

Use the PMS acceptance test matrix to record observed results. Keep a supplier demonstration separate from a test in your intended configuration. A feature promised for a future release should remain an open item with an owner and deadline.

Compare the total scope and local support

Compare quotations for the same door count, requirements and cost period. A low lock price can leave out equipment, licences, installation or support included in another proposal. Have every bidder mark each item included, optional, recurring or excluded.

Comparison cost = hardware + installation and making good + issuing/network equipment + software and integration + training + agreed-period recurring fees + planned spares. Apply your own project quantities.

  • Confirm which entity invoices, installs and services the system.
  • Ask where replacement parts are held and what delivery is promised.
  • Define response hours, escalation contacts and chargeable visits.
  • Distinguish remote assistance from on-site attendance.
  • Keep delivery, import and applicable project costs explicit.

Obtain the proposed local service arrangement in writing, including who attends site and who pays. Use the quotation comparison guide and supplier evidence comparison to prepare consistent questions.

Build a shortlist you can explain

Start with the collected manufacturer catalogues and retain a small set that addresses the brief. The cards beside this guide match published hotel-lock terms.

For each candidate, save the product page, supplier profile, document revisions and unresolved questions. The ORBITA supplier record illustrates the supplier side of that trail. Do not transfer a company-level claim to every model it sells.

  1. Apply mandatory fit and workflow requirements first.
  2. Mark missing evidence unresolved.
  3. Compare service and complete cost among remaining candidates.
  4. Request a representative sample before the full purchase.

If every candidate has an unresolved mandatory requirement, return to the suppliers. A scoring table should make that gap visible rather than hide it behind a high average.

Approve a sample with a written decision

Agree test criteria before the sample arrives. Identify the physical unit, firmware/software versions, accessories, door type and documents. Photograph the fitted sample and record each result as pass, fail or not tested.

Use the hotel lock sample acceptance checklist to assign an owner and retest date to open items. Keep procurement acceptance, installation sign-off and applicable project reviews distinct. Release the full order when the agreed decision-makers accept the recorded configuration and scope.

Carry the accepted configuration into the purchase order. If the supplier changes a mortise, software version or credential type, identify which checks need repeating. During rollout, retain room-by-room installation checks.

Questions buyers often ask

Which hotel lock is best for a small property?

Start with staffing, door fit and the guest arrival process. A smaller property still needs recovery procedures and support. A useful recommendation needs those requirements and a demonstrated configuration.

Do we need mobile keys?

Choose them when they solve a guest-service or operating need that justifies their dependencies and cost. Try the guest journey and fallback before buying.

Can we keep existing cards or the PMS?

Request written compatibility details for the exact technology and software releases, then demonstrate the workflow. Similar branding or appearance is insufficient.

Does a successful sample establish approval for the project?

It supports the recorded procurement decision. Installation assessments and any applicable project approvals remain separate checks for the responsible specialists.
